Order Templating

The general idea of our Order Template function is to create an order only once and save it as a template for future use, so any future orders of similar items can simply be selected instantly, rather than creating the entire order again. For example, if you order a selection of Soft Drinks each week, rather than creating an order every week for several cases of Soft Drinks, potentially from multiple suppliers, you can simply select your Soft Drinks template, and edit / approve the orders as required.

  • The icon to the left of the Product Name opens the shopping basket window, where you can add products you wish to order into your shopping basket.

  • You can use the + or - keys to add or remove a quantity (Qty) of the product or enter a number directly into the Qty field. Please note that the Default Order Unit will be used here, but there will be a chance to change this later at the order approval stage.
  • Once you are happy with the amount of product you wish to add to your shopping basket, click on the Add to Basket and close button.

  • Now that your basket has an item in it, you will see this reflecting in the top right of the page as Your Basket.

  • As you continue to add items, the number over your basket will increase. Please remember the basket is available by the user, by location, so if you have a full basket, other users on your system will not be able to see it.
    • Items in your Shopping Basket will persist even when you log out.

  • Clicking on the Your Basket option will take you to your shopping basket, where you may place or delete an order.

  • Clicking on Generate Template will present to you the Order Template naming screen.mceclip7.png
  • Here you can name your template something appropriate.mceclip8.png
  • When you are happy with the name, click on Save.
  • The items will be removed from your basket, and there will be a new option in the top right of the screen: Order Template.

  • Once again, this is currently exclusive by the user and by location. Your templates are exclusive to you.
  • The number next to Order Template indicates the number of templates available.
  • To place your order, click on Order Template to see the list of Templates.

  • Click on an order template name to review it.

  • If you wish to delete the template, you can use the Delete button. Note that this will remove the template entirely.
  • If you wish to remove a single item from your template, click on the delete symbol to the right of the product order information within the template.

  • To edit your template, add items to your Shopping Basket once again.

  • Then click on Generate Template as you would have to create a template.
  • This time, instead of naming a new template, you can select a template that is already available - once you start typing in the Order Template Name field your current template names will appear.
  • Select one of your previous templates and click on Save. The items in your current basket will be added to that template.

  • You can continue to edit the template at this stage.
  • If you want to place an order, click on Confirm Order. An order will be generated supplier-wise and is ready for editing/approval based on your template.
