The stocktake page has a few notable features to make stocktaking easier for the user.

Stock take can be done either by direct stock input into the system or by the export/import method. Let's understand both the methods:

1. Stocktake by direct data input (select the Stocktake tab on the top):-

  • Using the drop-down menus, select the period you would like to take stock for, the category of the stock you wish to count, and the store you are counting for if applicable.
  • Before counting, you can print your list to make your stock count a little easier and more efficient. Use the All Products | Selected Category options on the top right of the screen to access a printable list.

  • If you'd like to create a stock store (to stocktake by location or otherwise customize your stocktake list) please see the Product Stores page or the Stock Stores Setup page for more information. You can always speak to the STO Support Team about setting this up.

It is important to note that multiple users can enter the stock at the same time in the same location, in the same period. However, they must have selected different categories. For example, one user can enter stock in the SPIRITS category while another enters stock in the SOFT DRINKS category. Multiple users cannot enter stock in the SPIRITS category at the same time as this will cause data to be overwritten.

  • Add the stock counts to the empty boxes on the right-hand side.
  • You can use math functions (+, -, *, /) when entering the stock.
  • When adding counts to a long list, make sure to periodically use the Save Data button at the bottom of the list in case anything goes wrong with your browser or computer, you don’t want to lose all that data!
    • The stocktake page does have an autosave facility when changing categories or searching but do not rely on it, accurate stock entry is essential.
  • Finish filling out your count and click the Save Data button.

2. Export/Import:-

  • Select the Export tab on the top.
  • Using the drop-down menus, select the period you would like to take stock for, the category of the stock you wish to count, and all the stores you are counting for if applicable.
  • Once done, click on "Export to Xlsx" and you will get a file with all the products under the selected category & stores.

  • Below is how your excel will appear. Make sure the period number is matching with the code reflected in the Name box of the excel sheet like 128 in this case.
  • Orange cells indicate allocation of products to respective store/s.
  • You can do stocktake for all the products & once done, save the file in the same format in your system.

  • For importing the stock count on the system, click on the "Import" tab on the tab.
  • Click on "Choose File" to select your saved file & at last click on "Upload File" to import the counts on your STO.
