STO Update 20th Mar'26

Dear Stocktake Online Users,

As you will undoubtedly know, Stocktake Online is a constantly evolving system. We continually strive to enhance our software and services, incorporating ideas from the hospitality industry and your feedback, our valued users. After looking through feedback from various sources, we identify areas for improvement and adjustments to implement. 

Please take a look at the following notes on the changes we have made and the new features we have added, and as always, please do not hesitate to contact us if you have any questions or would like any extra information on the changes to Stocktake Online.

Update includes:

• User Password Expiry
• Stocktake with multiple units 
• Credit Note Attachment

User Password Expiry

User Password expiry can be configured to a duration of three months from the backend. Users are required to contact the STO support team to activate this setting for all users across the database. By default, no expiry period is established, meaning users will continue to use the same password indefinitely.

Stocktake with multiple units 

On the Stocktake page, three distinct lines are provided for the count unit, allowing the user to record the same product in multiple package units if required. Once entered, the count will be converted into the default unit of measurement to ensure consistency across all reporting.

For instance, there are 5 CS and 10 BTL of Pear Cider stock. As shown in the reference below, the counting has been performed for both units, and the system automatically converts the count to BTL, as the default count unit is set to BTL at the product level. This unit will also be utilised in the reports.

This feature must be enabled from the backend; therefore, the user is required to contact the STO support team.

Credit Note Attachment

For all deliveries, we have included an option to attach a credit note alongside the delivery note and invoice attachment features. Kindly note that this should be utilised solely as a reference document for deliveries where returns have been recorded. Only PDF files with a maximum size of 3 MB are permitted for upload.
